Checked October 26, 2026. Prices were read on each vendor's own pages. Two of the tools below, BakeSmart and Castiron, are bakery and food-business software for which we found no AI wording on their pricing pages; we say so. Prices change: re-check before you buy, especially before the holidays. Dooza Crew is our product and our top pick for the admin side of a bakery; we say why, and where the others fit better.

Best AI tools for bakeries: the short answer

Our top pick for a small retail or custom-order bakery's admin is Dooza Crew: AI employees that answer calls, draft replies to custom cake enquiries and fill order forms, $49 a month for the whole organization, and they ask before they send anything. If the phone is your only problem, look at Dialzara (plans from $29 a month) or Goodcall. Square has a beta AI chat that answers questions from your sales data. For custom orders, BakeSmart and Castiron are order software, not AI tools. For website chat, Tidio's Lyro.

What we could not find on bakery AI adoption

We looked for an association survey on bakeries' use of AI and did not find one, so we are not quoting any number. What the vendors say is a pitch, not a result. Square, for instance, says of its AI: "Chat with Square AI to get business recommendations based on your data, industry trends, and web search." The same page says "This feature is currenty in beta", typo included.

A bakery's pressure points repeat every season: the phone at the morning rush, the custom cake enquiry that needs a careful reply, and the evening admin (quotes, deposits, pickup times). The tools below cover those. A caution on honesty: much of the best bakery software is order management with no AI in it, and we list it separately so you can tell which is which.

The AI phone and chat tools sit beside your point-of-sale and order system, not inside it. Anything they take down you will have to check and enter yourself.

The tools, one by one

1. Dooza Crew (our product, top pick): AI employees for a bakery's admin

A small bakery loses time in the gaps: the phone rings while your hands are in dough, the custom cake enquiry sits in your inbox until evening, and the regular wholesale customer never gets a nudge before a holiday. Crew gives your company AI employees, each with its own computer and browser and its own job. They work around the clock, work with your team in one chat, and pass work to each other. Before one sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.

Example jobs you could give it: you could give one agent the job of answering the phone and taking down the pickup date, the item and the contact details for every order call; another the job of drafting a reply to each custom cake or event enquiry, for you to approve; another the job of filling a fillable PDF or Word order form you upload with the details a customer sent; another the job of drafting a reminder to regular customers before a holiday, for you to edit. Crew works in web-based tools you log in to with a browser, and you type passwords and 2FA codes yourself.

  • Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled.
  • Phones: Crew agents take phone calls too, included in the plan.
  • Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
  • Watch for: no bakery software (such as BakeSmart or Castiron) is certified or integrated with it, so it does not sync with your order system; it works only in web tools you log in to. It is not a food-safety authority: recipes, allergen labels and food-safety decisions stay with you.

Try Dooza Crew free for 7 days.

2. Square: a point of sale with an AI chat in beta

If your bakery already rings up sales on Square, its AI feature is the nearest thing to AI inside a bakery POS. Square AI answers questions about your own sales data and suggests Square features. Square's own words: "Chat with Square AI to get business recommendations based on your data, industry trends, and web search."

  • Price: the retail pricing page shows $0/mo. per location, $49/mo. per location and $149/mo. per location (Free, Plus and Premium). Card processing fees are separate; we do not quote them.
  • Free trial: no trial length is stated on the pages we read.
  • Watch for: Square AI is labeled beta and only reasons from your Square data.

3. BakeSmart: bakery order software, not an AI tool

BakeSmart calls itself a way to "Run your entire bakery from one system." Its Cake Matrix handles quoting for custom orders, and a Texting add-on sends order confirmations and payment requests. We found no AI wording on the page, so treat it as order management you can put an AI phone tool beside.

  • Price: platform "Starts at $99 /month per location"; implementation "Starts at $499 One-time implementation fee"; Time Cards $3/month per user.
  • Free trial: none stated; you schedule a demo.
  • Watch for: an implementation fee, and no AI by its own wording.

4. Castiron: online ordering for home and small food businesses

Castiron describes itself as "the fastest way to run your food business." It includes quotes, invoices and a custom order suite. We found no AI wording on the pricing page, so it is here because custom-order bakers will meet it when they compare tools.

  • Price: $29 /mo billed annually; $39 /mo billed monthly; both with 2.9% + 30 cents card rates. There is also a "Free Forever" plan.
  • Free trial: "Try it for free"; no credit card required.
  • Watch for: no AI wording, and the page showed a promotional banner when we read it.

5. Dialzara: AI receptionist by the minute

Dialzara answers calls while your hands are in dough, takes a message with questions you set (item, pickup date, name), and can transfer a call to you. The vendor's headline is "AI receptionist plans from $29/month", and plans include message taking with custom questions and blind transfer to your team.

  • Price: Business Lite $29/month (up to 60 minutes of talk time, overage $0.48/min); Business Pro $99/month (220 minutes); Business Plus $199/month (500 minutes); Business Elite $349/month (1000 minutes).
  • Free trial: 7-day free trial. No contract; cancel anytime.
  • Watch for: billing is by talk minutes with overage, and it does not connect to your order system.

6. Goodcall: AI phone agent billed per caller

Goodcall suits a small bakery that misses calls at the morning rush: you build the agent, test it free and connect a number when ready. The page says "We never meter minutes."

  • Price: Starter $79 a month (100 unique customers a month, then 79 cents each); Scale $299 a month.
  • Free trial: no trial; instead a free demo agent: you build it and test it, and pay only when you connect a number.
  • Watch for: billing is per unique caller, which adds up in a busy week, and it is not connected to order system.

7. Smith.ai: call answering with real people, AI-first or not

Smith.ai answers calls 24/7 with real people trained in your workflows and offers AI-first, Hybrid and Human-first handling. It is the priciest option here, and not bakery-specific.

  • Price: Starter $300/month for 30 calls, with overage of $11.50 per call over 30.
  • Free trial: none; all plans include a 30-day money-back guarantee, though its FAQ mentions a refund in the first two weeks, so confirm the terms.
  • Watch for: priced per call and far above AI-only tools.

8. Tidio: website chat with the Lyro AI Agent

Tidio puts a chat box on your website and its Lyro AI Agent answers visitors from the information you give it, with human handoff.

  • Price: Lyro starts at $32.50/mo (from 50 Lyro AI conversations); Tidio Starter $24.17/mo (100 billable conversations). The page has an unlabeled monthly/annual toggle, so treat these as "from" prices.
  • Free trial: 7-day free trial.
  • Watch for: billed by conversation counts, so a viral post costs more, and the answers are only as good as the information you feed it.

9. Fathom: free AI notes for video calls

Fathom records and summarizes video calls: "Unlimited recordings, instant call summaries, integrations with LLMs & more."

  • Price: Free, "Free forever"; paid team plans start from $15/mo per user (the page title says "Plans from $15/mo").
  • Watch for: video calls only: it does not listen to the phone line or the counter.

Free AI tools and trials for bakeries

  • POS: Square's $0/mo plan, with Square AI in beta.
  • Orders: Castiron's Free Forever plan (no AI wording).
  • Call notes: Fathom's free forever plan.
  • AI phone line: Goodcall's free demo agent, until you connect a number.
  • Trials: Dialzara 7 days, Tidio 7 days, Dooza Crew 7 days (card required).

How to choose an AI tool for your bakery

  1. Start with the biggest time sink. Missed calls at the rush, custom cake enquiries, or evening admin.
  2. Separate order software from AI. BakeSmart and Castiron manage orders; the AI phone and chat tools sit beside them.
  3. Plan for your peak weeks. Tools billed by minutes, calls or conversations cost more at the holidays. Dooza Crew is a flat monthly price for the whole organization, with a hard spending cap on AI usage.
  4. Keep food safety with you. Recipes, allergen labels and food-safety decisions should stay with you. Never let an AI tell a customer a cake is allergen-free.
  5. Expect to re-enter orders. None of these AI tools plug into your order system, so an order taken by an AI still has to be entered and checked by you.
  6. Test one workflow for a couple of weeks before routing every call through a bot.

Frequently Asked Questions

What is the best AI tool for bakeries?

It depends on the job. For calls at the rush, Dialzara has plans from $29 a month and Goodcall starts at $79 a month. For the admin around custom orders and follow-ups, our top pick is Dooza Crew (our product): AI employees that answer the phone and draft emails, $49 a month for the whole organization after a 7-day free trial, and they ask before they send anything. Bakery order software such as BakeSmart and Castiron is not AI, by their own pages.

Can AI answer the phone for a bakery?

Yes. Dialzara plans start at $29 a month with a 7-day free trial, Goodcall starts at $79 a month with a free demo agent, Smith.ai starts at $300 a month for 30 calls, and Dooza Crew agents also take phone calls, included in the $49 plan. They take messages and order details; you still make the products and answer allergen questions.

Does Dooza Crew work with BakeSmart, Castiron or Square?

No. No bakery software (such as BakeSmart or Castiron) is certified or integrated with Dooza Crew, so it does not sync with your order system. It works only in web tools you log in to with a browser, and you type passwords and 2FA codes yourself.

Can AI handle allergen labels or food-safety questions?

It should not do so on its own. Recipes, allergen labels and food-safety decisions stay with you. With Dooza Crew, before an agent sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject. Check any order an AI phone agent takes before you act on it.

Does Square have AI for bakeries?

Square offers Square AI, a chat that answers questions from your Square data and which Square labels as beta. The retail pricing page shows $0, $49 and $149 per month per location, with card processing fees separate.

Is there a free AI tool for bakeries?

Fathom has a free forever plan for video call notes, Goodcall lets you test a free demo agent, and Square has a $0/mo plan. Dialzara and Tidio have 7-day free trials, and Dooza Crew has 7 days (card required).

Try Dooza Crew
