Customer support outsourcing guide
Customer Service Outsourcing: Costs, Models and How to Start in 2026
Customer service outsourcing means paying an outside team to answer your customers by email, chat, social or phone. In 2026 you can hire a call center, a dedicated remote agent, a managed AI-plus-human service, or AI software. This guide compares all four on cost, control and quality, so you can pick the one that fits your ticket volume.

The short answer
- What it is: an outside team or service handles some or all of your customer conversations, working from your policies, inside your tools.
- What it costs: about $6–14 an hour offshore, $9–18 nearshore and $22–45 onshore for a human agent, or roughly $0.75–7 per ticket on per-ticket plans (sources below).
- Best for: businesses with steady, repetitive questions (order status, returns, bookings) that are eating the owner's or team's time.
- Biggest risk: losing your brand voice and control over refunds and complaints. Fix it with written policies, approval rules and a paid test on real tickets.
- The 2026 option: AI drafts every reply and a person reviews it, which costs less than a full-time agent and responds day and night. Dooza runs this model for small businesses.
What is customer service outsourcing?
Customer service outsourcing (also called customer support outsourcing) is hiring a third party to handle customer conversations on your behalf. The provider works from your policies and knowledge base, usually inside your helpdesk or inbox, and answers customers under your brand name.
Most businesses outsource in layers rather than all at once:
- Tier 1: repetitive questions such as "where is my order?", return requests, shipping times, password resets, booking changes. This is the layer most worth outsourcing.
- Tier 2: account problems, order edits, warranty claims and troubleshooting that need system access and judgment.
- Tier 3: escalations, refunds above a limit, angry customers and anything legal. Most small businesses keep this in-house.
Channels usually outsourced: email, live chat, contact forms, social media DMs and comments, marketplace messages (Amazon, Etsy, eBay), SMS and WhatsApp, and phone. Phone is the most expensive channel to outsource because it needs someone live at the moment the customer calls.
"Customer service outsourcing" and "customer support outsourcing" mean the same thing in practice. Some providers use "customer support" for product and technical help and "customer service" for orders and accounts, but buyers and search engines treat them as one category.
The four ways to outsource customer service
In 2026 there are four distinct models. They differ most in who does the work, how you pay, and how much control you keep.
| Model | Who answers | How you pay | Best for | Watch out for |
|---|---|---|---|---|
| BPO / call center (e.g. Liveops, Concentrix, TaskUs) | A team of agents shared across or dedicated to your account | Per hour, per agent, per minute or per ticket; often a minimum | Large or phone-heavy volume, 24/7 coverage | Minimum seats and contracts, generic tone, slow to change |
| Dedicated remote agent or VA (via agencies or marketplaces) | One person who works your inbox | Monthly salary or hourly rate | Steady volume for one person's shift | Hiring, training, sick days, one time zone |
| Managed AI + human service (e.g. Dooza) | AI drafts, a specialist reviews, you approve the sensitive ones | Flat monthly plan by message volume | Small businesses and online stores with repetitive questions | Needs good policies and product data to draw on |
| AI helpdesk software (e.g. Gorgias, Zendesk, Help Scout) | An AI agent inside your helpdesk, your team handles the rest | Seats or tickets plus a fee per AI resolution | Teams that already have support staff to set it up and monitor it | You still own the setup, QA and every escalation |
The first two are traditional outsourcing. The last two are newer: AI does most of the typing, and the question becomes who checks the AI's work. With software, it is your team. With a managed service, it is the provider's specialist, and you only see the tickets that need you.

How much does it cost to outsource customer service?
Outsourcing prices depend on where agents are located, which channels they cover, and how you are billed. These are the 2026 benchmarks published by outsourcing researchers and providers:
| Where the agents are | Typical hourly rate (customer service) |
|---|---|
| Onshore (US, UK, Canada) | $22–45 per hour, fully loaded |
| Nearshore (Mexico, Colombia, Costa Rica) | $9–18 per hour |
| Offshore (Philippines, India, Eastern Europe) | $6–14 per hour |

Many providers for small businesses and online stores price per ticket or per agent instead. Ringly's September 2026 ecommerce outsourcing cost breakdown lists these ranges:
| Pricing model | Typical range | At 500 tickets a month |
|---|---|---|
| Per ticket | $0.75–7 per ticket | $375–3,500 |
| Per resolution | $1–7 per resolved ticket | $500–3,500 |
| Dedicated agent | $1,200–3,500 per month | One agent usually covers it |
| Setup fee | $500–5,000 one-time | Often waived for small accounts |
| QA surcharge | 5–10% of the base rate | Adds up on large accounts |
The same breakdown's worked example: a store with 500 tickets a month, one dedicated agent at $2,000 a month, an $800 setup fee and $200 a month for QA spends about $27,200 in year one.
Hidden costs to ask about: minimum seat counts, contract length, after-hours and weekend premiums, per-tool integration fees, training hours you pay for, and what happens to price when volume spikes in Q4. For a full breakdown, read our customer service outsourcing cost guide.
Pros and cons of outsourcing customer service
| Pros | Cons |
|---|---|
| Time back. The owner or team stops answering the same questions every evening. | Brand voice drift. Agents who don't know your product can sound generic or wrong. |
| Faster replies and longer hours without hiring a night shift. | Less control over refunds, exceptions and how complaints are handled. |
| Flexible capacity for launches, sales and holiday peaks. | Onboarding cost. Someone still has to write policies, macros and escalation rules. |
| Lower cost per ticket than a full-time in-house hire at low or uneven volume. | Contracts and minimums that don't suit small or seasonal businesses. |
| Specialist tools and QA you would not set up yourself. | Data access. An outside team needs access to your store, inbox and customer data. |
The pattern behind most outsourcing failures is the same: the provider was handed an inbox but not the knowledge that lives in the owner's head. The fix is not a better vendor; it is writing that knowledge down and keeping a human approval step on anything that costs you money.

When should you outsource customer support?
Outsourcing usually pays off when at least two of these are true:
- Customers wait more than a business day for an answer, or you reply at night and on weekends.
- Most of your messages are the same ten questions: order status, delivery times, returns, sizing, booking changes.
- Support volume is uneven, spiking with launches, promotions or seasons, so a full-time hire would sit idle for part of the year.
- The person answering customers is the founder or your most valuable employee.
- You are adding a channel (chat, Instagram, WhatsApp, a marketplace) and nobody owns it.
Keep support in-house, at least for now, if your product needs deep technical knowledge that takes months to learn, if every conversation is a high-value sales conversation, or if you get so few messages that answering them takes less than 30 minutes a day.
A good middle path for a small business: outsource tier 1 only and keep refunds, complaints and VIP customers with you. That is how most small stores start, and it is the default setup at Dooza.
How to outsource customer service in 7 steps
- Export and tag 100 recent conversations. Count how many fall into each question type. This tells you what can be outsourced and what the volume really is.
- Write down your policies. Returns, refunds, shipping, exchanges, discounts, warranty, and the exceptions you actually make. Outsourced teams and AI can only be as good as this document.
- Decide what stays with you. A typical rule: refunds over a set amount, chargebacks, complaints, press, wholesale and anything legal always come to the owner.
- Pick the model from the table above based on volume, channels and budget, and shortlist two or three providers.
- Test on real messages before you sign. Give each provider 20 of your real customer messages and compare the answers. This reveals tone and accuracy faster than any sales call.
- Set service levels. First-response time, resolution time, hours covered, and a weekly quality sample you review together.
- Start with approval on, then loosen it. Review replies for the first weeks. Once answers are consistently right, let routine questions go out without your review.
Questions to ask a customer service outsourcing company
| Question | Why it matters |
|---|---|
| Can you answer 20 of our real messages before we sign? | The only reliable test of tone and accuracy. |
| Is there a minimum number of seats, hours or months? | Minimums are the main reason small businesses overpay. |
| Who exactly answers our customers, and in which time zone? | Shared agents juggling many brands produce generic replies. |
| Do you work inside our existing inbox or helpdesk? | Migrating tools adds cost and risk, and makes leaving harder. |
| What can agents do without asking us (refund, discount, replace)? | Sets the line between speed and control. |
| How do you handle a peak week at twice normal volume? | Reveals surge pricing and staffing limits. |
| What data do you access, and how is it protected? | You are handing over customer names, addresses and orders. |
| How do we leave, and what do we keep? | Macros, knowledge base and conversation history should stay yours. |

How AI is changing customer service outsourcing
The biggest change since 2024 is that AI can now write a good first draft for most tier 1 questions, using your policies and live order data. That changes the economics of outsourcing in two ways.
First, helpdesks now charge per AI resolution. Gorgias, for example, charges $0.90–1.00 per automated interaction on top of its ticket-based plans, and its billing documentation says an AI-resolved ticket can incur both an automation fee and a ticket fee (Gorgias pricing, Gorgias billing help center, checked September 2026). Zendesk and Help Scout also bill AI by the resolution. The software is cheaper than a person, but your team still sets it up, checks it and handles every escalation. See our Gorgias pricing breakdown for worked examples.
Second, a new hybrid model has appeared: the AI drafts, a trained person reviews anything uncertain, and the business owner only approves the sensitive replies. You get AI speed with a human check, without hiring or managing anyone. This is the model Dooza runs.
AI still gets things wrong when policies are vague, when it lacks order data, or when a customer is upset. That is why every serious provider, AI or human, should give you an approval step and a clear escalation path.
Where Dooza fits
Dooza is an AI-native company that builds AI products and services for small businesses. Dooza AI customer support is a managed service for small businesses and online stores that want to outsource tier 1 support without hiring a VA or signing a call-center contract.
- How it works: Dooza AI drafts replies from your policies, products and past answers. A Dooza specialist checks anything the AI is unsure about. Refunds, complaints and anything sensitive come to you, usually with one tap to approve.
- Where it works: inside the inbox you already use: Gmail, Shopify Inbox or Gorgias. Nothing to migrate, and your inbox stays yours if you leave.
- How fast: live in 48 hours after a setup call with a Dooza engineer.
- How to judge it: send 20 real customer messages and we answer them in your voice before you decide.
What Dooza is not: a phone call center or a 200-seat BPO. For calls, Dooza's AI receptionist answers the phone, and for very large, phone-heavy operations a traditional BPO is still the better fit. Dooza is not SOC 2 certified; it uses encrypted connections and your approval on anything sensitive.
Frequently asked questions
Customer service outsourcing is hiring an outside company or service to answer your customers by email, chat, social media or phone on your behalf. The provider works from your policies and usually inside your own helpdesk or inbox.
Yes, in practice. Some providers use customer support for technical and product help and customer service for orders and accounts, but buyers, providers and search engines treat them as the same category.
In 2026, published benchmarks put human agents at about $6-14 per hour offshore, $9-18 nearshore and $22-45 onshore. Per-ticket plans range from about $0.75 to $7 per ticket, and dedicated agents from about $1,200 to $3,500 per month, before setup fees and QA surcharges.
To answer customers faster and for longer hours, to handle seasonal peaks without hiring, to lower the cost per ticket, and to free the owner or core team from repetitive questions.
It is usually worth it when repetitive questions take more than an hour a day, replies are slow, or the founder is answering customers at night. Start by outsourcing tier 1 questions only and keep refunds and complaints in-house.
Start with high-volume, low-risk questions: order status, shipping times, return instructions, sizing and booking changes. Keep refunds above a set amount, complaints, chargebacks and VIP customers with your own team.
AI can now draft good answers to most repetitive questions, but it still makes mistakes when policies are vague or customers are upset. The most reliable setups in 2026 combine AI drafting with a human review step and owner approval for sensitive replies.
Traditional BPOs often take several weeks to hire and train agents. Managed AI-plus-human services can go live much faster; Dooza sets up in 48 hours inside Gmail, Shopify Inbox or Gorgias.
Give the provider written policies, past replies you liked, and a list of phrases to use and avoid. Test them on 20 real messages before signing, and review replies with approval turned on for the first weeks.
