Best AI tools for travel agents: the short answer
Our top pick for an independent agent or small agency is Dooza Crew: AI employees that answer calls, chase quotes that went quiet and draft the follow-up emails nobody has time for, $49 a month for the whole organization, and they ask before they send anything. If you want AI inside your itinerary and CRM, check Tern, TravelJoy and Travefy first. For a phone line, Rosie or Goodcall. For call notes, Fathom or Otter.
We did not find a travel-advisor survey on AI use that we could read and quote in full, so this guide sticks to what vendors publish about their own tools and prices.

1. Dooza Crew (our product, top pick): AI employees for the agency back office
Most small agencies lose hours to the work around the booking: the phone you cannot answer while you are on a supplier call, the proposal nobody followed up, the intake form to fill again. Crew gives your company AI employees, each with its own computer and browser and its own job. They work around the clock, work with your team in one chat, and pass work to each other. Before one sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.
Example jobs you could give it: you could give one agent the job of answering the phone and taking a message for every new trip enquiry; another the job of drafting a friendly follow-up to every quote or proposal that has gone quiet, for you to approve; another the job of filling a fillable PDF or Word form you upload, such as a client intake or traveler information form. Crew works in web-based tools you log in to with a browser, and you type passwords and 2FA codes yourself.
- Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled.
- Phones: Crew agents take phone calls too, included in the plan.
- Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
- Watch for: no travel booking system (GDS, host agency platform or a CRM such as Travefy or ClientBase) is certified or integrated with it, so it does not sync with your booking system; it works only in web tools you log in to. Bookings, payments and seller-of-travel compliance stay with you; it asks before Pay or Submit.

2. Tern: an AI agent inside advisor software
Tern is a platform for travel advisors with commission tracking and client records. Its AI page says: "Tern's agentic AI knows your clients, trips, and inbox. It drafts emails, builds itineraries, and clears admin work from a chat. You stay in control." It adds that nothing sends or saves until you review and approve it.
- Price: for the 1 to 2 advisor tier the pricing page shows "Monthly $ 49 /seat/mo" and $35 per seat per month for quarterly or annual terms. Tern Pro is an optional add-on for more monthly AI usage; we did not read its price.
- Free trial: the FAQ says there is a free trial; it does not state how long.
- Watch for: priced per seat, and heavy AI use may need the Tern Pro add-on.
3. Travefy: itinerary and CRM with AI content import
Travefy is itinerary, proposal and CRM software. Its Core plan includes "Itinerary & Proposal Builder", CRM with forms and automations, invoicing and commission tracking, and "AI Content Import".
4. TravelJoy: an Itinerary Copilot for solo advisors
TravelJoy is a CRM, proposal and payments tool for travel advisors. Its AI page says "Itinerary Copilot turns your trip notes into polished, professional itinerary drafts so you can spend less time on copying, pasting, and formatting."
- Price: "Pro $ 39 /mo" ($32 a month billed annually) includes AI and automations; the $19 Starter plan lists "No AI and automations". Card processing on Pro is 3.5% + 30c. A Premium plan starts at $79 a month, and 10x Copilot usage is a $49 a month add-on.
- Free trial: "7-day free trial · No credit card required · Cancel any time"
- Watch for: AI is not on the cheapest plan, and payment processing fees apply.
5. Rosie: AI phone answering from $49 a month
Rosie describes itself as a "24/7 AI answering service that knows your business."
6. Goodcall: AI phone answering with a free demo agent
Goodcall builds an AI agent for your business line. Its pricing page says "Start free with a demo agent. Add a number when you're ready."
- Price: "Starter $79 a month" (100 unique customers a month, then 79¢ each), Growth $129 and Scale $299 a month.
- Free trial: a free demo agent; you pay only when you connect a number.
- Watch for: billing is per unique caller, so a busy wave season costs more.
7. Smith.ai: AI and human receptionists
Smith.ai offers an AI receptionist and virtual receptionists, with lead screening and intake and appointment booking listed as features.
- Price: "30 calls $300 / month" on Starter, with overage of $11.50 a call; Basic is 90 calls for $810 a month.
- Free trial: a "30-day money-back guarantee" rather than a free trial.
- Watch for: the cost per call is far above flat-price tools, so it suits agencies with high-value inquiries.
8. Fathom: free AI notes for client and supplier calls
Fathom records and summarizes video calls. Its free plan has "Unlimited recordings, instant call summaries, integrations with LLMs & more." Useful for client planning calls and supplier meetings held on video.
- Price: "Free forever." The Team plan shows $19 and $15 per user per month (2 users minimum).
- Free trial: paid plans have a 90-day guarantee.
- Watch for: video calls only, not your phone line. Tell clients before you record.
9. Otter: AI meeting notes with a free plan
Otter's free Basic plan works with Zoom, Microsoft Teams and Google Meet and includes AI chat within and across meetings.
- Price: Basic is "Free" with 300 monthly transcription minutes; Pro shows $16.99 per user per month on the monthly toggle.
- Free trial: the Basic plan is free; no separate trial read.
- Watch for: 300 minutes a month and 3 lifetime file imports on Basic.
Free AI tools and trials for travel agents
- Call notes: Fathom's free forever plan; Otter's free Basic plan.
- AI phone line: Goodcall's free demo agent, until you connect a number.
- Trials: TravelJoy 7 days (no credit card), Rosie 7 days, Travefy 10 days, Dooza Crew 7 days (card required), Tern (length not stated).
What AI can and cannot do for a travel agency
The tools above fall into three groups, and mixing them up is the most common way to overspend.
AI inside your itinerary and CRM software (Tern, Travefy, TravelJoy) works on data already in that system: client records, trips and proposals. Its strength is that it knows your clients and trips. Its limit is that it stays inside that product, so it will not answer your phone or fill a supplier's form.
AI phone answering (Rosie, Goodcall, Smith.ai) picks up when you cannot, takes a message and captures the lead. Compare how each one bills: Rosie by the minute allowance, Goodcall by unique caller, Smith.ai by the call. A small agency with a handful of inquiries a day will price very differently from one running a busy wave season.
General AI employees (Dooza Crew) are different in kind: each agent has its own computer and browser, so it can do a job across the web tools you already log in to, and pass work to another agent. That flexibility is also the limit. Because no travel booking system is integrated with it, you should treat it as a helper that drafts and prepares, with you approving each send, and not as part of your booking system.
One rule keeps you safe with all of them: bookings, payments and anything covered by seller-of-travel rules where you operate stay with you. Use AI to prepare the email, the form or the summary, and read it before it goes out.
Questions to ask before you buy
- What does it cost at my volume? Work out your monthly calls, seats and trips, then price each tool at that volume. Per-seat, per-caller and per-call pricing diverge fast.
- Does the AI plan cost extra? TravelJoy lists "No AI and automations" on its Starter plan, and Tern has a Pro add-on for more AI usage.
- Who approves what is sent? Ask whether the tool drafts for approval or sends on its own.
- Where does client data go? Passport details and payment information are sensitive. Read the vendor's privacy terms before you upload anything.
- Can I leave? Prefer monthly terms or a trial you can cancel, then move to annual billing once it has earned its place.
How to choose an AI tool for your agency
- Start with the leak. Missed calls, quotes that go quiet, itinerary formatting, or admin. Pick the one that costs you the most bookings or evenings.
- Check your itinerary and CRM software first. If you already pay for Travefy, TravelJoy or Tern, ask what AI is built in before buying a second tool. Dooza Crew and the phone tools do not integrate with them or with any GDS.
- Count seats and calls. Tern is per seat, Goodcall per unique caller, Smith.ai per call; Dooza Crew is a flat monthly price for the whole organization.
- Keep sign-off human. Pick tools that ask before they send, and keep bookings, payments and seller-of-travel compliance with you.
- Test on one task for a couple of weeks before you route every call or quote to a bot.
