Checked October 26, 2026. Prices were read on each vendor's own pricing page. Most lesson-planning tools here are built for classroom teachers, and we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for the business side of tutoring; we say why, and where the others fit better.
Best AI tools for tutors: the short answer
For the business side, our top pick is Dooza Crew: AI employees that answer calls from new families, draft the reminder and follow-up emails nobody has time for, $49 a month for the whole organization, and they ask before they send anything. For lesson materials, start with the free plans of MagicSchool, Khanmigo or Eduaide. For a phone line, Rosie or Goodcall. For session or sales-call notes, Fathom, Otter or Fireflies.
We did not find a survey of tutors on AI use, only surveys of teachers and faculty, so this guide sticks to what vendors publish about their own tools and prices.

1. Dooza Crew (our product, top pick): AI employees for the tutoring business
Most tutors lose hours to the work around the lessons: the call from a new parent you could not take mid-session, the reminder nobody sent, the enrollment form to fill again. Crew gives your company AI employees, each with its own computer and browser and its own job. They work around the clock, work with your team in one chat, and pass work to each other. Before one sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.
Example jobs you could give it: you could give one agent the job of answering the phone and taking a message for every new student enquiry; another the job of drafting a friendly follow-up to every family that asked for a trial lesson and went quiet, for you to approve; another the job of filling a fillable PDF or Word form you upload, such as an enrollment or consent form. Crew works in web-based tools you log in to with a browser, and you type passwords and 2FA codes yourself.
- Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled.
- Phones: Crew agents take phone calls too, included in the plan.
- Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
- Watch for: no tutoring platform is certified or integrated with it, so it does not sync with your scheduling or billing system; it works only in web tools you log in to. It is not a teacher and does not tutor students. Student data and parent communication decisions stay with you.
Try Dooza Crew free for 7 days.
2. MagicSchool: a big set of teacher tools with a free plan
MagicSchool is built for classroom teachers. Its free plan lists "80+ teacher tools" plus a chatbot, quizzes and class writing feedback.
- Price: "$0 Forever Free"; Plus is $12.99 a month billed monthly or $8.33 per user per month billed annually, and adds unlimited generations.
- Free trial: the free plan; no trial stated.
- Watch for: made for schools and districts, so some tools will not suit one-to-one tutoring.
3. Khanmigo: free for teachers, an AI tutor for learners
Khanmigo is Khan Academy's AI assistant. For teachers it can "Generate standards-aligned, differentiated lesson planning tied to our content library."
4. Eduaide: lesson materials from a small teacher-built tool
Eduaide says it is "the most affordable AI tool for creating instructional materials" for lesson materials, organizers, games and assessments.
5. Rosie: AI phone answering from $49 a month
Rosie describes itself as a "24/7 AI answering service that knows your business." It suits a tutor who cannot answer calls mid-lesson.
6. Goodcall: AI phone answering with a free demo agent
Goodcall builds an AI agent for your business line. Its pricing page says "Start free with a demo agent. Add a number when you're ready."
- Price: "Starter $79 a month" (100 unique customers a month, then 79¢ each), Growth $129 and Scale $299 a month.
- Free trial: a free demo agent; you pay only when you connect a number.
- Watch for: billing is per unique caller, and it is not tutoring-specific.
7. Fathom: free AI notes for calls
Fathom records and summarizes video calls. Its free plan has "Unlimited recordings, instant call summaries, integrations with LLMs & more." Useful for intro calls with parents or meetings with partner schools.
- Price: "Free forever."
- Free trial: paid plans have a 90-day guarantee.
- Watch for: it records calls. With minors involved, get consent first.
8. Otter: AI meeting notes with a free plan
Otter's free Basic plan works with Zoom, Microsoft Teams and Google Meet and includes AI chat within and across meetings.
- Price: Basic is "Free" with 300 monthly transcription minutes; Pro shows $16.99 per user per month on the monthly toggle.
- Free trial: the Basic plan is free.
- Watch for: 300 minutes a month on Basic.
9. Fireflies: another free note-taker
Fireflies' free plan lists unlimited transcription, limited AI summaries and an AI assistant called AskFred.
- Price: "Free forever"; Pro is $10 per seat per month billed annually.
- Free trial: the free plan.
- Watch for: the free plan has limited AI summaries and 20 AI credits.

What AI can and cannot do for a tutoring business
The tools above fall into three groups, and they solve different problems.
Lesson-material tools (MagicSchool, Khanmigo, Eduaide) draft lesson plans, worksheets, quizzes and rubrics. They are built mainly for classroom teachers, so they save the most time when you plan many lessons across a curriculum. They produce a first draft; you check it against your own subject knowledge before a student sees it.
Phone and call-notes tools (Rosie, Goodcall, Fathom, Otter, Fireflies) cover the moments you are teaching and cannot pick up, or want a written summary of an intro call with a parent. Compare how each bills: Rosie by minutes, Goodcall by unique caller, and the note-takers by plan limits.
General AI employees (Dooza Crew) work on the business admin. Each agent has its own computer and browser, so it can do a job across the web tools you already log in to, and pass work to another agent. Because no tutoring platform is integrated with it, treat it as a helper that drafts and prepares, with you approving each send, and not as part of your scheduling system. It does not teach.
One rule keeps you safe with all of them: the teaching, student data, recordings and what you tell parents stay with you. Use AI to prepare the email, the form or the summary, and read it before it goes out.
Questions to ask before you buy
- What does it cost at my volume? Count your monthly calls, tutors and students, then price each tool at that volume. Per-caller, per-minute and per-seat pricing diverge fast.
- Is the tool built for tutors? Most lesson tools here are made for school teachers. Test the free plan on a real lesson before you pay.
- Who approves what is sent? Ask whether the tool drafts for approval or sends on its own, especially for messages to parents.
- Where does student data go? Names, grades and recordings are sensitive. Read the vendor's privacy terms before you upload anything.
- Can I leave? Prefer monthly terms or a free plan, then move to annual billing once the tool has earned its place.
How to choose an AI tool for your tutoring business
- Start with the leak. Missed calls from new families, lesson prep, parent follow-ups, or admin. Pick the one that costs you the most hours.
- Keep your scheduling software. Tools such as TutorBird ("$ 16.95 /month + $ 4.95 per each additional tutor or staff member") and Teachworks ("Starter $16.49 /mo + $0.320 per student lesson monthly") handle lessons and invoices, and we found no AI feature on their pricing pages. Dooza Crew and the phone tools do not integrate with them.
- Try the free lesson tools first. MagicSchool, Khanmigo and Eduaide cost nothing to test; check the output against your own subject knowledge.
- Keep sign-off human. Pick tools that ask before they send, and keep student data, recordings and parent messages under your control.
- Test on one task for a couple of weeks before you route every call to a bot.
