An example night at a property management company: the Inbox agent passes a tenant’s leak report to the Maintenance agent at 11:36 pm, which marks it urgent, opens a work order in a web portal and drafts the vendor and tenant messages; the manager approves at 11:44 pm, and in the morning the Owners agent drafts a note to the owner because the repair is over their limit. Names are made up.

One agent for each thing that eats your day.

Hire one or all six. Each has its own computer, its own browser and its own job. And they work with each other: the Inbox agent hands every repair email to the Maintenance agent, the Maintenance agent tells the Owners agent when a repair needs an owner’s OK, the Rent agent flags late payers to the Renewals agent before a renewal goes out, the Leasing agent hands every signed applicant back to you, and you see every handoff in your chat.

  1. Maintenance agent

Repair requests arrive by email, text and portal, at all hours.

Reads the maintenance requests in your webmail and the property management portal you log in to, sorts urgent from routine by the rules you set, drafts the work order to the right vendor from your vendor list and the update to the tenant, then follows up until the job is closed. Nothing goes out until you tap Approve.

  2. Inbox agent

Tenants and owners expect an answer the same day.

Reads your office webmail, sorts tenant questions, owner questions, vendor invoices and notices, saves attachments to the right property folder in Files and drafts each reply from your policies. Nothing goes out until you tap Approve.

  3. Rent agent

The 6th of the month, and you are checking who has not paid.

Checks the rent roll or delinquency report you export from your property management software, drafts a friendly reminder to every tenant still unpaid from your template, and follows up on your schedule. Formal notices and late fees stay with you. Nothing goes out until you tap Approve.

  4. Owners agent

Every owner wants their statement, and a word on what happened.

Logs in to the owner portal or property management software you use, in its own browser, downloads each owner’s monthly statement into Files, writes a short plain-English summary of the month (repairs, vacancies, late rent) and drafts the email to each owner. You sign in once and type the 2FA code yourself.

Hire the owners agent, $5 to start
  5. Renewals agent

Leases expire while you are putting out fires.

Checks your lease sheet every week, lists leases ending in the next 90 days, fills your renewal offer template for each tenant, saves it to Files and drafts the email, then follows up until you have an answer. It fills fillable PDF, Word and Excel files you upload. Nothing goes out until you tap Approve.

Hire the renewals agent, $5 to start
  6. Leasing agent

A prospect emails at 10 pm and rents from whoever answers first.

Answers listing inquiries in your webmail with the facts of each listing you give it, sends your application link and the showing times you set, and logs every prospect in a sheet in Files. Screening and approval decisions stay with you. Nothing goes out until you tap Approve.

  7. Phones

Tenants call at 2 am about a leak.

Crew agents take phone calls too. It is included in your Crew plan, so there is no separate phone service to buy.

After you lock up, they keep working.

Your agents wake up every hour on their own and do whatever is due. You come in to a short list of things to approve.
