Checked October 26, 2026. Prices were read on each vendor's own pricing page. Loman and Podium do not publish prices; we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for the office side of a small coffee shop; we say why, and where the others fit better.
Best AI tools for coffee shops: the short answer
Our top pick for a small coffee shop is Dooza Crew: AI employees for the back-office work that eats your afternoons, $49 a month for the whole organization, and it asks before it sends anything. It does not run your register. For AI inside your POS, look at Square. For scheduling, Homebase. For inventory and invoice scanning, MarketMan. For phone answering, Slang AI or Loman. For social posts, Buffer has a free plan.
How many restaurant operators use AI in 2026
The National Restaurant Association's State of the Restaurant Industry 2026 report, as reported by Restaurant Dive on Feb. 18, 2026, found that "Twenty-six percent of restaurant operators say they are using artificial intelligence-related tools at their restaurants". Marketing is the most common use: "19% of full-service operators and 15% of limited-service operators said they use AI to assist with marketing". Ordering is rare: "only 6% of restaurants are using AI for customer orders."
That is a figure for all restaurants, not coffee shops alone, and we read it through a news report rather than the NRA's own page. It still tells you where to start: marketing and office work, not the counter.

1. Dooza Crew (our product, top pick): AI employees for the office side of the shop
Crew gives a coffee shop AI employees, each with its own computer and browser and its own job. They work around the clock, work with your team in one chat, and pass work to each other. Before one sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.
Examples of jobs you could give it: you could give one agent the job of drafting your weekly supplier order emails for you to approve; you could give another the job of replying to catering and event inquiries from your inbox with a draft for you to review; and you could give another the job of answering the phone for opening hours and taking a message while you are on the bar. These are tasks, not promises of results.
- Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled. You type passwords and 2FA codes yourself.
- Phones: Crew agents take phone calls too, included in the plan.
- Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
- Watch for: no coffee shop software (such as your POS) is certified or integrated with it, so it does not sync with your POS; it works only in web tools you log in to. It does not run your register, and it cannot put a phone order into your POS.
Try Dooza Crew free for 7 days.
2. Square: a POS with AI built in (beta)
If your register is already Square, the AI is in the software you use. Square AI lets you "Chat with Square AI to get business recommendations based on your data, industry trends, and web search." The page labels it beta, and does not say which plans include it.
- Price (per location per month): Square Free "$0/mo. per location", Square Plus $49, Square Premium $149. The Kitchen Display app is $20 to $30 per device a month on top and not on Free. Card processing fees apply too.
- Free trial: "Square Plus and Square Premium each offer a free 30-day trial".
- Watch for: Square AI answers questions about your data; it does not do the office work. Switching POS for an AI feature is rarely worth it.
3. Homebase: staff scheduling with an AI assistant
Homebase handles shift schedules, time tracking and team messaging. The Plus plan lists an "AI-powered Scheduling Assistant"; the page does not describe it further.
- Price (per location per month, billed monthly): Basic $0 for one location and up to 10 employees; Essentials $30; Plus $70; All-in-One $120. Annual billing is lower (the page code shows $24 for Essentials and $56 for Plus).
- Free trial: 14 days of All-in-One, no credit card, then your account moves to free Basic.
- Watch for: the AI assistant is not on the free Basic plan, and the page does not say what it does.
4. MarketMan: inventory, invoices and recipe costs
MarketMan's Starter plan includes "50 AI-Powered Invoice Scans/mo". Growth adds "AI-Assisted Recipe Optimization & Suggestions" and Smart Ordering, with unlimited invoice scanning.
- Price (monthly): Starter "$249"; Growth $299; Enterprise from $449.
- Free trial: none stated on the page.
- Watch for: it starts at $249 a month, built for restaurant operations; a one-counter shop may find that more than it needs.
5. Slang AI: phone answering for restaurants
Slang AI is "reliable AI answering that turns calls into reservations." It says it "requires less than 30 minutes of your time to set up and can go live the very same day."
- Price: Core "$399" starting at, per location; Premium starting at $599; Enterprise custom. The page does not say the billing period.
- Free trial: none stated; you try it or book a demo.
- Watch for: it is built around reservations (OpenTable, SevenRooms, Yelp, Resy), which a counter-service coffee shop rarely takes.
6. Loman: AI phone ordering
Loman "takes orders and reservations, answers FAQs, and syncs tickets and payments to your POS & reservation systems." It says it syncs with POS systems such as Square, Toast, SpotOn and Clover.
- Price: not published: you schedule a demo.
- Watch for: no public price, and the POS sync is the vendor's own claim, so ask whether your POS is supported before you commit. For more on phone tools see best AI receptionist.
7. Buffer: social posts with an AI Assistant
Buffer schedules posts to your social channels, and every plan listed includes an AI Assistant.
- Price: Free forever, with "Connect up to 3 channels" and 10 scheduled posts per channel. Essentials is $5 a month for 1 channel ($60 billed yearly); Team $10 a month per channel.
- Free trial: 14 days on the paid plans.
- Watch for: the price is per channel, and the free plan caps scheduled posts at 10 per channel.
8. Podium: texting and an AI Employee
Podium is a texting and lead platform; you can "Add on AI Employee to any plan." It describes the AI as one that "sells, schedules, and communicates with customers day and night".
- Price: not published: you ask for a demo.
- Watch for: the industries on its page are auto dealerships, aesthetics, home services and retail, not food service, and there is no public price.
9. Smith.ai: call answering
Smith.ai answers calls 24/7, screens and qualifies leads, and gives you a dedicated number. It is not built for food service.
- Price: $300/month for 30 calls; $810/month for 90 calls; $2,100/month for 300 calls; $11.50 per call over 30 on the first plan (Smith.ai pricing).
- Free trial: none; the page offers a 30-day money-back guarantee, but the same page says a refund applies in the first two weeks, so confirm the terms.
- Watch for: it is priced per call, and a busy cafe's quick calls can add up.
Where AI helps a coffee shop, and where it does not
A coffee shop makes its money at the counter, and no tool here makes the drinks. The useful AI sits around the counter. Scheduling tools turn availability into a rota. Inventory tools read supplier invoices so you are not typing them in. Social tools help you write the post about the new seasonal drink. Phone tools answer the questions that pull you off the bar: opening hours, whether you have oat milk, whether you take catering orders. And office agents handle the email and forms that pile up after close.
The tools split into two kinds. Some live inside software you already run, like Square AI in your POS or Homebase's scheduling assistant, and cost little extra. Others do a job on their own, like a phone agent or an office agent, and charge for it. Check which kind you need before you compare prices, because a $5 social tool and a $399 phone tool are not substitutes.

How to choose an AI tool for your coffee shop
- Start with the job that eats the most hours. Scheduling, ordering, invoices, social posts, the phone or the inbox.
- Check your POS first. Square AI works only in Square; Loman lists the POS systems it syncs with; Dooza Crew does not integrate with any POS.
- Start free. Square Free, Homebase Basic and Buffer Free cost nothing. Add one paid tool at a time.
- Keep a person on anything customer-facing. Pick tools that ask before they send, and read what the AI says to guests.
- Match the price to the shop. MarketMan starts at $249 a month; Buffer starts at $5 per channel.
