Checked October 26, 2026. Prices were read on each vendor's own pricing page. Cvent does not publish a price, and we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for small planning businesses; we say why, and where the others fit better.

Best AI tools for event planners: the short answer

Our top pick for a small planning business is Dooza Crew: AI employees that answer calls, draft vendor and client emails and chase enquiries that went quiet, $49 a month for the whole organization, and they ask before they send anything. If you want AI inside client-management software, check HoneyBook first. For seating plans, Social Tables. For ticketed events, Eventbrite. For workflows between your apps, Zapier. For a stand-alone phone line, Goodcall.

What we could not find on event planner AI adoption

We looked for a primary survey of event planners on AI use and did not find one we could verify, so we are not quoting any number. What the vendors say is clear enough: AI is arriving as small features inside the tools planners already use. HoneyBook lists "Email drafts Respond faster with AI-generated email drafts." Social Tables says "Use AI to get started on events and diagrams based on information in your BEO." Cvent calls itself "Purpose-built and AI-powered". Those are vendor claims, not results.

For a small planner the useful split is three jobs: the inbox and phone (enquiries, vendor quotes, follow-ups), the paperwork (contracts, run-of-show sheets, vendor forms), and the event itself (floor plans, tickets, registration). The tools below cover those.

The tools, one by one

1. Dooza Crew (our product, top pick): AI employees for the planner's inbox and phone

Most small event businesses run on one or two people, and the work that eats the week is not the event: it is the enquiry that arrived at 11pm, the vendor who has not replied, the form that needs filling for the third venue. Crew gives your company AI employees, each with its own computer and browser and its own job. They work around the clock, work with your team in one chat, and pass work to each other. Before one sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.

Example jobs you could give it: you could give one agent the job of answering the phone and taking a message for every new enquiry; another the job of drafting quote-request emails to caterers, florists and venues for you to approve; another the job of drafting a follow-up to every enquiry that has gone quiet; another the job of filling a fillable PDF or Excel form you upload, such as a vendor information sheet or a run-of-show template. Crew works in web-based tools you log in to with a browser, and you type passwords and 2FA codes yourself.

  • Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled.
  • Phones: Crew agents take phone calls too, included in the plan.
  • Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
  • Watch for: no event-planning software (such as HoneyBook, Social Tables or Cvent) is certified or integrated with it, so it does not sync with your planning system; it works only in web tools you log in to. Contracts, payments to vendors and client commitments stay with you: it asks before Pay or Submit.

Try Dooza Crew free for 7 days.

2. HoneyBook: client management with AI built in

HoneyBook is client-management software for service businesses, and its business types include "Event services Planners, photographers, DJs, florists, venues, and more." Its AI features include "AI automations builder Describe your process and let AI build the workflow." plus AI chat, email drafts, a meeting notetaker and meeting prep.

  • Price: Starter "$ 29 /month (billed yearly)"; Essentials $49 a month and Premium $109 a month, both billed yearly. Each plan lists HoneyBook AI.
  • Free trial: "All plans start with a free trial." The length is not stated on the page. There is a 60-day money-back guarantee.
  • Watch for: the prices above are the yearly-billed rate, and it manages clients and paperwork rather than floor plans or ticketing.

3. Social Tables: seating plans, with AI to start from a BEO

Social Tables is event diagramming and seating software. Its feature list includes a BEO uploader: "Use AI to get started on events and diagrams based on information in your BEO."

  • Price: a free plan at "$0" (1 user, 3 events, 2 diagrams per event); Standard $49 a month, Pro $150 a month, Premium $320 a month, billed monthly.
  • Free trial: the free plan is available, but the page says the free and Standard plans are "exclusively for independent social and wedding planners"; corporate accounts should contact sales.
  • Watch for: AI is one feature, not the product, and Standard is capped at 15 events.

4. Eventbrite: ticketing with AI event creation

Eventbrite is for events where you sell tickets or take registrations. Its organizer tools list "AI event creation" next to custom registration forms and payment processing.

  • Price: "No fees for free events Publish unlimited free events at no cost." For paid tickets: 3.7% + $1.79 service fee per ticket, plus a 2.9% payment processing fee per order. Eventbrite Pro, for sending more emails, is listed as starting at $15 a month.
  • Free trial: none stated; free events cost nothing.
  • Watch for: it is built for public ticketed events, not private weddings or corporate planning, and fees add up on paid tickets.

5. Cvent: an enterprise platform with CventIQ

Cvent is the large event-management platform used by corporate and association planners. Its home page says it is "Purpose-built and AI-powered - with the data insights, ecosystem, and expertise to deliver real event outcomes."

  • Price: not published (contact sales). The site navigation mentions pricing, but the pricing page returned a 404 when we read it, and the buttons say Request a demo.
  • Free trial: none stated.
  • Watch for: no public price, and it is built for bigger corporate programs more than a solo planner.

6. Zapier: AI automation between the apps you already use

Zapier connects your apps with automated workflows. Its free plan is described as "Start automating with AI. Zaps, Tables, and Forms included (100 tasks per month)." A planner might use it to move a new enquiry from a form into a spreadsheet and send a notification.

  • Price: "Free forever $0 /month"; Professional "Starting from $19.99 /month"; Team starting from $69 a month.
  • Free trial: paid plans say "Try it free"; the length was not in the text we read.
  • Watch for: you build and maintain the workflows yourself, and usage is billed in tasks, with 100 a month on the free plan.

7. Goodcall: AI phone answering with a free demo agent

Goodcall builds an AI agent for your business line. Its pricing page says "Start free with a demo agent. Add a number when you're ready."

  • Price: "Starter $79 a month" (100 unique customers a month, then 79¢ each), Growth $129 and Scale $299 a month. It says "We never meter minutes."
  • Free trial: a free demo agent; you pay when you connect a number.
  • Watch for: billing is per unique caller, so a busy wedding season costs more, and it does not connect to your planning software.

8. Smith.ai: call answering with real people, AI-first or hybrid

Smith.ai sells "Professional call answering by real people" around the clock, with AI-first, hybrid and human-first options.

9. Fathom: free AI notes for client and vendor calls

Fathom records and summarizes video calls. Its free plan has "Unlimited recordings, instant call summaries, integrations with LLMs & more." Useful for discovery calls, vendor reviews and team meetings held on video.

  • Price: "Free forever." Team shows $19 and $15 per user per month (the page does not label which is annual), with a 2-user minimum, so budget from $15.
  • Free trial: paid plans have a free trial and a 90-day guarantee.
  • Watch for: video calls only: not for site visits and not for the phone line.

Free AI tools and trials for event planners

  • Planning software: Social Tables' free plan (independent social and wedding planners only); Eventbrite for free events.
  • Automation: Zapier's free forever plan (100 tasks a month).
  • Call notes: Fathom's free forever plan.
  • AI phone line: Goodcall's free demo agent, until you connect a number.
  • Trials: HoneyBook (free trial on all plans), Dooza Crew 7 days (card required).

How to choose an AI tool for your event business

  1. Start with the biggest time sink. The inbox, the phone, the paperwork or the floor plans. Pick the one that costs you the most evenings.
  2. Check your planning software first. If you already pay for HoneyBook or Social Tables, ask what AI is built in before buying a second tool. Dooza Crew and the phone tools do not integrate with them.
  3. Count callers and events. Goodcall is priced per unique caller, Eventbrite per ticket, Social Tables by events; Dooza Crew is a flat monthly price for the whole organization.
  4. Keep commitments human. Contracts, payments to vendors and promises to clients should be approved by you. Pick tools that ask before they send or pay.
  5. Test on one workflow for a season before you route every enquiry through a bot.

Frequently Asked Questions

What is the best AI tool for event planners?

For a small planning business, our top pick is Dooza Crew (our product): AI employees that answer the phone, draft vendor and client emails and chase quiet enquiries, each with its own computer and browser, for $49 a month for the whole organization after a 7-day free trial. It asks before it sends anything. If you want AI inside client-management software, look at HoneyBook; for seating plans, Social Tables; for ticketed events, Eventbrite.

Can AI plan an event for me?

It can take the admin off your plate, not make the commitments. HoneyBook lists AI email drafts, a meeting notetaker and an automations builder, and Social Tables uses AI to start diagrams from a banquet event order. With Dooza Crew, contracts, payments to vendors and client commitments stay with you: it asks you to Approve, Edit or Reject before it sends an email or clicks Send, Submit or Pay.

Does Dooza Crew work with my event planning software?

No. No event-planning software, including HoneyBook, Social Tables or Cvent, is certified or integrated with Dooza Crew, so it does not sync with your planning system. It works only in web tools you log in to with a browser, and you type passwords and 2FA codes yourself.

Is there an AI receptionist for event planners?

Yes. Goodcall starts at $79 a month with a free demo agent, Smith.ai's answering plans start at $300 a month for 30 calls, and Dooza Crew agents also take phone calls, included in the $49 plan. They take messages and route enquiries; quotes and commitments stay with you.

HoneyBook plans are $29, $49 and $109 a month when billed yearly, Social Tables has a free plan and paid plans of $49, $150 and $320 a month, Zapier is free for 100 tasks a month and from $19.99 a month above that, and Cvent does not publish a price.
