Checked October 26, 2026. Prices were read on each vendor's own pricing page. Some tools (Zen Planner, and in part Mindbody) do not give a price we could rely on; we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for small gyms; we say why, and where the others fit better.

Best AI tools for gyms: the short answer

Our top pick for a small gym or boutique studio is Dooza Crew: AI employees that answer calls, chase tour leads and draft the follow-up emails nobody has time for, $49 a month for the whole organization, and they ask before they send anything. If you want AI inside your member software, check Mindbody, PushPress or Zen Planner first. For a gym-specific AI receptionist, Replify. For a stand-alone phone line, Goodcall. For workout plans, Trainerize.

How many fitness professionals use AI in 2026

More than half of the trainers ISSA surveyed use it weekly. ISSA's write-up of its survey of certified and aspiring fitness professionals says: "Just over half of respondents (about 52%) use AI tools daily or several times a week in their fitness or coaching work." It adds that "More than 70% report that AI has at least slightly improved their efficiency or productivity as professionals", with roughly a third calling the impact significant.

Two cautions. ISSA sells trainer certification, and the respondents are trainers, not gym owners or front-desk teams. Still, the direction is clear. The owners who get the most from AI start with the front desk, not the floor: missed calls during a class, tour leads that go quiet, and member admin in the evening. The tools below cover those.

The tools, one by one

1. Dooza Crew (our product, top pick): AI employees for the front desk

Most small gyms lose members in the gaps: a call you could not take while coaching a class, a trial visitor who never heard back, a lapsed member nobody emailed. Crew gives your company AI employees, each with its own computer and browser and its own job. They work around the clock, work with your team in one chat, and pass work to each other. Before one sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.

Example jobs you could give it: you could give one agent the job of answering the phone and taking a message for every membership or tour enquiry; another the job of drafting a friendly follow-up to every trial visitor or tour that has gone quiet; another the job of drafting a win-back email to members who stopped coming, for you to approve; another the job of filling a fillable PDF or Excel form you upload, such as a membership agreement or class roster sheet. Crew works in web-based tools you log in to with a browser, and you type passwords and 2FA codes yourself.

  • Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled.
  • Phones: Crew agents take phone calls too, included in the plan.
  • Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
  • Watch for: it is not a certified trainer or a medical advisor. No gym software (Mindbody, PushPress, Zen Planner or any other) is certified or integrated with it, so it does not sync with your member system; it works only in web tools you log in to. Health and injury questions stay with your staff.

2. Replify: an AI receptionist and sales agent built for gyms

Replify is the gym-specific option. Its menu describes the AI Receptionist & Sales product as "Answer calls, qualify leads, and sell 24/7." It also lists AI outbound sales by phone, text and email, and AI billing and collections. Its home page announces that ABC Fitness has acquired Replify.

  • Price: "CORE $200 /month/location" (month to month, no set-up fees); Plus $400/month per location. Core includes up to 375 calls and 250 texts a month, then $0.30 per extra call and $0.04 per extra text.
  • Free trial: a 14-day free trial is listed in the plan table.
  • Watch for: it is priced per location, with caps on calls and texts, which is a lot more than a flat $49 tool for a single small studio.

3. Mindbody: an AI Concierge inside the booking software

Mindbody is the big booking and membership platform for studios. Its AI Concierge is described as "Get a 24/7 front desk assistant to answer client questions, respond to missed calls, and drive sales."

  • Price: the pricing page says "Starting at $99 USD/month per location" in the header, while its FAQ says the entry plan starts at $79 a month. Check at checkout. On the comparison table, AI Concierge is not on Starter, is an add-on on Accelerate, and is included on Ultimate.
  • Free trial: not stated.
  • Watch for: two starting prices on one page, and the AI front desk costs extra or needs a higher plan.

4. PushPress: member software with an AI Assistant

PushPress is gym management software popular with CrossFit boxes, martial arts schools and small-group studios. It lists an "AI Assistant": "Get instant answers about members, attendance, leads, revenue, retention, and more. No spreadsheets required."

  • Price: "Free $0"; Pro $159 a month; Max $229 a month. Card-processing rates differ by plan.
  • Free trial: not stated, but there is a $0 plan.
  • Watch for: the AI answers questions about your own data; it does not take calls. The free plan has the highest card-processing rate.

5. Zen Planner: AI-powered marketing automation

Zen Planner is another gym management platform. Its Engage module lists "AI-powered marketing automation" and "Lead capture & follow-up workflows".

  • Price: not published on the page we read (Get a Demo).
  • Free trial: none stated.
  • Watch for: demo-only pricing, and AI is one line in a marketing module rather than a stand-alone tool.

6. Vagaro: an AI assistant for studios that book appointments

Vagaro is booking software for salons and studios, so it fits yoga, Pilates and personal training better than a big-box gym. Its pages say "Vagaro's AI assistant, Vera, helps automate marketing, fill empty appointment slots, create descriptions, and communicate with clients."

7. Trainerize: an AI Workout Builder for coaches

Trainerize (now ABC Trainerize) is app-based coaching software. Its Grow plan includes "AI Workout Builder", plus custom client programs and meal tracking.

8. Goodcall: AI phone answering with a free demo agent

Goodcall builds an AI agent for your business line. Its pricing page says "Start free with a demo agent. Add a number when you're ready."

  • Price: "Starter $79 a month" (100 unique customers a month, then 79¢ each), Growth $129 and Scale $299 a month. It says "We never meter minutes."
  • Free trial: a free demo agent; you pay only when you connect a number.
  • Watch for: billing is per unique caller, so a busy January costs more, and it does not sync with your member database.

9. Fathom: free AI notes for owner and staff calls

Fathom records and summarizes video calls. Its free plan has "Unlimited recordings, instant call summaries, integrations with LLMs & more." Useful for corporate-sponsor calls, vendor reviews and staff meetings held on video.

  • Price: "Free forever." Premium shows $20 and $16 per user per month (the page does not label which is annual), so budget from $16.
  • Free trial: paid plans have a free trial and a 90-day guarantee.
  • Watch for: video calls only, not the front-desk phone line.

Free AI tools and trials for gyms

  • Member software: PushPress's $0 plan; Trainerize's free plan for one client.
  • Call notes: Fathom's free forever plan.
  • AI phone line: Goodcall's free demo agent, until you connect a number.
  • Trials: Replify 14 days, Vagaro 30 days, Dooza Crew 7 days (card required).

How to choose an AI tool for your gym

  1. Start with the leak. Missed calls during class, tour leads that go quiet, lapsed members, or admin. Pick the one that costs you the most members.
  2. Check your member software first. If you already pay for Mindbody, PushPress or Zen Planner, ask what AI is built in before buying a second tool. Dooza Crew and the phone tools do not integrate with them.
  3. Count locations and callers. Replify is priced per location, Goodcall per unique caller; Dooza Crew is a flat monthly price for the whole organization.
  4. Keep sign-off human. Pick tools that ask before they send, and keep health, injury and medical questions with your qualified staff.
  5. Test on one lead source for a couple of weeks before you route every call to a bot.

Frequently Asked Questions

What is the best AI tool for gyms?

For a small gym or boutique studio, our top pick is Dooza Crew (our product): AI employees for the front-desk work that eats your evenings, such as answering the phone, drafting follow-ups to leads who toured and filling forms, each with its own computer and browser, for $49 a month for the whole organization after a 7-day free trial. It asks before it sends anything. If you want AI inside your member software, look at Mindbody, PushPress or Zen Planner; for a dedicated gym AI receptionist, Replify.

Is there an AI receptionist for gyms?

Yes. Replify is built for gyms and studios: Core is $200 a month per location with up to 375 calls a month, and it has a 14-day free trial. Mindbody sells an AI Concierge for missed calls, as an add-on or on its Ultimate plan. Goodcall starts at $79 a month with a free demo agent. Dooza Crew agents also take phone calls, included in the $49 plan.

How many fitness professionals use AI?

One survey by ISSA of certified and aspiring fitness professionals found about 52% use AI tools daily or several times a week, and more than 70% said AI had at least slightly improved their efficiency. It surveyed trainers, not gym owners, and ISSA sells certifications, so treat it as one data point.

Can AI follow up with leads who toured but did not join?

Yes, that is what several tools here sell. Replify lists AI outbound sales by phone, text and email, and Zen Planner lists lead capture and follow-up workflows. With Dooza Crew you could give one agent the job of drafting a follow-up to every tour that has gone quiet; it asks you to approve before it sends.

Can AI give health advice or write injury-safe workouts for members?

It should not do that on its own. Dooza Crew is not a certified trainer or a medical advisor, and no gym software is certified or integrated with it. Trainerize offers an AI Workout Builder, but a qualified coach should review any plan. Health and injury questions from members stay with your staff.

Is there a free AI tool for gyms?

Fathom has a free forever plan for call notes, PushPress has a $0 plan, Trainerize has a free plan for one client, and Goodcall lets you build and test a demo agent free. For trials: Replify 14 days, Vagaro 30 days, and Dooza Crew 7 days (card required).

Try Dooza Crew

A lead AI agent plus helper agents that browse the web, write files and ask you before they send or pay. 7-day free trial (card required), then $49/month with AI usage included and a hard spending cap.
