Checked October 26, 2026. Prices were read on each vendor's own pricing page. Several firm plans (Booke AI for firms, Karbon Enterprise, Canopy Enterprise, Blue J Team) do not publish prices; we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for small accounting firms; we say why, and where the others fit better.

Best AI tools for accountants: the short answer

Our top pick for a small accounting firm is Dooza Crew: AI employees that chase client documents, sort uploads and draft reminders, $49 a month for the whole organization, and it asks before it sends anything. For receipt and invoice capture, look at Dext. For AI bookkeeping on QuickBooks Online or Xero, Booke AI. For tax research, Blue J. For practice management with AI built in, Karbon, Canopy or TaxDome. For call notes, Fathom has a free plan.

How many accounting firms use AI in 2026

The two best-known surveys disagree, because they asked different people. Karbon's State of AI in Accounting 2026 says "98% of accounting firms use AI daily or multiple times a day." It surveyed "nearly 600 accounting professionals across six continents", and found that "only 21% have an AI policy or strategy". Karbon is a practice management vendor surveying its own audience, and the page mixes up firms and professionals.

The Thomson Reuters Institute looked at tax firms more broadly: "According to survey respondents, 21% of tax firms identified as already using GenAI technology", "with 53% either planning to use the technology or considering it". So 98% and 21% are not the same measure: one is a vendor's audience, the other a wider sample of tax firms. Either way, few firms have a written AI policy yet.

The tools, one by one

1. Dooza Crew (our product, top pick): AI employees for the firm's back office

Crew gives an accounting firm, CPA practice or bookkeeper one AI agent for each job that buries your staff: one for the inbox, one for client documents, one for chasing what is missing. Each has its own computer and browser, works around the clock, and works with your team in one chat. The agents pass work to each other: the Inbox agent hands every uploaded document to the Documents agent. They wake up every hour on their own and do whatever is due. Before it sends anything, it asks you to Approve, Edit or Reject.

  • Client documents: it keeps a checklist per client, checks what has come in, and drafts a polite reminder for what is missing.
  • Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled. You type your passwords and 2FA codes yourself.
  • Phones: Crew agents take phone calls too, included in the plan.
  • Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
  • Watch for: no accounting or tax software is certified yet, so try it on yours during the trial. It is not a ledger or a tax engine: it gathers, sorts and drafts, while preparing, reviewing, signing and filing returns, and any tax advice, stay with you and your licensed staff.

Try Dooza Crew free for 7 days, or see Dooza for accountants.

2. Dext: receipt and invoice capture

Dext Prepare captures receipts and invoices, extracts their data, stores the documents and integrates with accounting software. An optional AI Assist add-on handles everyday bookkeeping calls, and you keep final approval.

3. Booke AI: an AI bookkeeper for QuickBooks Online and Xero

Booke AI "Categorizes bank feed transactions daily", matches documents to transactions, asks clients for missing documents, and keeps an audit trail for exception review. You "Invite AI Bookkeeper to QuickBooks Online or connect Xero".

  • Price: Business $129 per business per month; Accounting Firms (white-label, multi-client) "Pricing by request". The page mentions no free trial.
  • Watch for: the price is per business, so cost grows with your client count, and it works with QuickBooks and Xero only.

4. Digits: an AI-native ledger with an agentic close

Digits' Agentic Close runs the close "continuously across collection, booking, reconciliation, scheduling, review, and reporting", with a Firm Close Tracker for practices.

5. TaxDome: all-in-one practice management

TaxDome bundles CRM, workflow, a client portal and billing. On the Pro plan you can "Tap into your firm's performance insights with AI-powered reporting".

  • Price (per seat, per year): Essentials $800 (1-year), $750 (2-year), $700 (3-year); Pro $1000, $950, $900; Business $1200, $1150, $1100. "All plans billed upfront." We found no free trial on the page.
  • Watch for: the lower rates need multi-year commitments, and the only AI the pricing page names is reporting on Pro.

6. Karbon: practice management with AI agents

Karbon's pricing page lists Kai AI Coworker (labeled new), AI Agents and AI-powered practice management, with Email Triage in all plans. The page does not describe what each AI feature does.

7. Canopy: practice management with an AI coworker

Canopy's Coworker (Beta) "can do the work (with your permissions)". It also has an AI Notetaker (Beta), AI document renaming and Smart Tax Prep.

8. Blue J: AI tax research with citations

Blue J promises "Verifiable answers to tax questions in seconds", combining large language models with a tax content database, with in-line citations, file upload and memo and email drafts.

  • Price: Individual "$1,498/year per user", best for sole practitioners; Team: talk to sales.
  • Free trial: 7 days, no credit card required.
  • Watch for: annual subscription only, and the Team price is not published.

9. Fathom: free AI notes for client calls

Fathom records and transcribes calls with "instant AI call summaries", handy for client reviews and tax planning calls. Premium adds AI action items.

  • Price: Free forever; Premium $20/mo per user ($16/mo billed annually); Team $19/mo per user ($15/mo annually, 2-user minimum); Business $34/mo per user ($25/mo annually) (Fathom pricing).
  • Watch for: some AI features are limited on Free, and it is not built for accounting: no link to your practice management or CRM.

10. Smith.ai: call answering and client intake

Smith.ai answers calls 24/7, screens and qualifies leads, takes intake and gives you a dedicated phone number. It is not accounting-specific.

  • Price: Starter $300/month for 30 calls; Basic $810/month for 90 calls; Pro $2,100/month for 300 calls; $11.50 per call over 30 on Starter; Enterprise on request (Smith.ai pricing).
  • Free trial: none; the page offers a 30-day money-back guarantee, but its FAQ mentions a refund in the first two weeks, so confirm the terms.
  • Watch for: it is priced per call, which adds up in tax season, and the page does not say which plans are AI-first.

Free AI tools and trials for accountants

  • Call notes: Fathom's free forever plan.
  • Your own books: Digits Free Firm Books (billing starts once a paying client is added).
  • Trials: Dext 14 days (no card), Digits 30 days, Blue J 7 days (no credit card), Dooza Crew 7 days (card required).

How to choose an AI tool for your firm

  1. Start with the job that eats the most hours. Chasing client documents, data entry, bank feed categorization, the close, tax research or the phones.
  2. Check your ledger and practice software first. Booke AI needs QuickBooks Online or Xero; Digits replaces the ledger; Karbon, Canopy and TaxDome are whole practice management systems.
  3. Do the math per client or per seat. Booke AI and Digits charge per client; TaxDome, Karbon, Canopy and Blue J charge per user.
  4. Keep sign-off human. Pick tools that ask before they send, and keep review, signing, filing and advice with licensed staff.
  5. Write a one-page AI policy. Only 21% of respondents in Karbon's survey have one.

Frequently Asked Questions

What is the best AI tool for accountants?

For a small accounting firm, our top pick is Dooza Crew (our product): AI employees for the jobs that bury your staff, such as chasing client documents and sorting uploads, each with its own computer and browser, for $49 a month for the whole organization after a 7-day free trial. It asks before it sends anything. For receipt capture, look at Dext; for AI bookkeeping on QuickBooks Online or Xero, Booke AI; for tax research, Blue J; for practice management with AI, Karbon, Canopy or TaxDome.

How many accounting firms use AI?

It depends on who you ask. Karbon's State of AI in Accounting 2026 survey of nearly 600 accounting professionals says 98% of firms now use AI, but Karbon surveyed its own audience. The Thomson Reuters Institute found that 21% of tax firms were already using generative AI, with 53% planning to use it or considering it. The two samples are different, so the numbers are far apart.

Can AI do my clients' bookkeeping?

Partly. Booke AI categorizes bank feed transactions daily and works with QuickBooks Online and Xero, at $129 per business per month. Digits runs the close as its own ledger, so clients must move to it. Dext captures receipts and invoices and extracts their data. A person should still review the books.

Can AI prepare or file tax returns?

Not in the tools here on its own. Blue J answers tax research questions with citations, and Canopy has Smart Tax Prep, but preparing, reviewing, signing and filing returns, and any tax advice, stay with you and your licensed staff. Dooza Crew gathers, sorts and drafts; it does not file.

Is there a free AI tool for accountants?

Fathom has a free forever plan for call notes. Digits lets a firm run its own books free (billing starts once a paying client is added). For trials: Dext 14 days with no card, Digits 30 days, Blue J 7 days with no credit card, and Dooza Crew 7 days (card required).

Should my firm have an AI policy?

Yes. In Karbon's 2026 survey, only 21% said they have an AI policy or strategy. Decide which tools are approved for client data and who reviews AI output before it reaches a client.
