Checked October 26, 2026. Prices were read on each vendor's own pricing page. Several (Subsplash apps, Pushpay) do not publish prices, and we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for small church offices; we say why, and where the others fit better.

Best AI tools for churches: the short answer

Our top pick for a small or mid-size church office is Dooza Crew: AI employees that handle routine office jobs, $49 a month for the whole organization, and it asks you to Approve, Edit or Reject before it sends an email. If you want AI inside your church database, look at Planning Center. For turning a sermon into devotionals, clips and discussion guides, Pulpit AI. For the phones, Smith.ai's AI Receptionist has a free plan. For meeting notes, Fathom and Otter have free plans.

How many pastors use AI in 2026

Barna's research on pastors and AI is the clearest recent source. Its U.S. Protestant pastors survey (n=442) "was conducted online in December 2025", and found that "Only 13 percent of pastors in the U.S. say they don’t use it at all." So most use it somewhere, usually behind the scenes. Barna reports that 34% use AI "for administrative tasks like scheduling, emails and document preparation", a figure it gives together with small group discussion questions.

Church vendors say churches are still working out the rules. Pushpay's own page says "64% of churches believe an AI policy is important, but only 5% have one." That is a vendor claim with no sample size on the page, so treat it as a prompt, not a statistic to quote.

The tools, one by one

1. Dooza Crew (our product, top pick): AI employees for the church office

Crew gives a church office AI employees, each with its own computer and browser and its own job. They work around the clock and work with your team in one chat. They pass work to each other. Before one sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.

Examples of jobs you could give it:

  • You could give one agent the job of drafting the weekly newsletter email from the notes you send it, for you to Approve, Edit or Reject before it goes out.
  • You could give one agent the job of answering the church phone when the office is closed and passing the message into your chat.
  • You could give one agent the job of filling the fillable PDF, Word and Excel forms you upload, such as a facility request or volunteer form. Scanned PDFs without form fields cannot be filled.
  • Phones: Crew agents take phone calls too, included in the plan.
  • Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
  • Watch for: it is not clergy or a counsellor, and pastoral care, giving records and member-data decisions stay with you. No church software (Planning Center, Tithely, Pushpay) is certified or integrated with it, so it does not sync with your church management system; it works only in web tools you log in to. You type passwords and 2FA codes yourself. Test yours during the trial.

2. Planning Center: church management with AI you control

Planning Center says it will "Connect your account to AI resources (like ChatGPT and Claude), use built-in ways to use our products effectively, and get instant answers to your questions." In practice: AI lists, where you type who you are looking for in People and it builds the list; an Ask AI helper for how-to questions; and a Planning Center MCP, so ChatGPT or Claude can read your account data if you permit it. It adds that "You, not Planning Center, are completely in control of what data you give to AI companies."

3. Tithely Church Management (formerly Breeze): a church database with flat pricing

Tithely's church management plan covers unlimited people and member management, volunteer tracking and scheduling, service planning, email newsletters, texting and automated follow-ups, with free giving included. We searched its pricing pages and found no AI feature named, so this is the base your AI tools sit on, not an AI tool.

4. Pulpit AI: sermon content for the week

Pulpit AI is made by Subsplash and, in its words, will "Instantly turn your sermons into more content—video clips, devotionals, small group guides, blog posts, newsletters, and more all in your voice". It also has a sermon assistant for openers, metaphors and applications.

  • Price: Basic "$39 USD / mo" for 5 file uploads a month; Standard $59 USD / mo for 10; Pro $129 USD / mo for 25. Annual prices shown are $421.20, $637.20 and $1393.20 USD a year.
  • Free trial: "Free trial No credit card required.", with 2 free uploads.
  • Watch for: plans are capped by uploads. It drafts from a sermon you already preached; a pastor must read the output for theology and tone before it goes out.

5. Subsplash: church app and giving, with Trends AI

Subsplash is a church platform for apps, giving and media, and its menu lists Pulpit AI and Trends AI (it has a post on creating a year-end impact report with Trends AI).

  • Price: Subsplash Giving is available "for $0/mo", with exclusive rates of "Card: 2.3% + 30¢ ACH: 1%". The rest is sales-quoted; no price is published.
  • Free trial: not stated.
  • Watch for: app and website pricing needs a call with sales, and its AI is mostly the separate Pulpit AI and Trends AI.

6. Pushpay: giving and church management

Pushpay calls itself "The all-in-one platform for giving, engagement, and church management." Its menu lists "AI Solutions for Churches", and it offers a free AI Policy Generator.

  • Price: not published; the page says to request a demo. Check scanning "starts at $0.29 per check".
  • Free trial: none stated.
  • Watch for: the AI solutions page returned an error when we tried it, so we could not verify what the AI does. Get a written quote.

7. Smith.ai AI Receptionist: the church phone

Smith.ai's AI Receptionist offers 24/7 AI call answering, with recording, transcription and summaries, and a way to test before going live.

8. Fathom: free AI notes for video meetings

Fathom's free plan offers "Unlimited recordings, instant call summaries, integrations with LLMs & more.", handy for elder, board and volunteer meetings held on video.

  • Price: Free forever; Team is $19 per user per month (2 user minimum), $15 on the annual toggle.
  • Free trial: Team has "start free trial" and a "90 day guarantee".
  • Watch for: it records video calls only, and it will transcribe what is said, so tell people they are being recorded and keep confidential care conversations out.

9. Otter: meeting transcripts and AI chat

Otter offers live transcription, speaker identification and AI chat within and across meetings.

  • Price: Basic is free with "300 monthly transcription minutes"; Pro is $16.99 per user per month (the annual toggle shows $8.49); Business $30 (shown with $24).
  • Free trial: the free Basic plan; no other trial stated.
  • Watch for: the free plan allows only 3 lifetime audio/video file imports, so it suits live meetings more than archives.

10. Claude: a general assistant for writing and admin

Claude can draft newsletters, announcements, volunteer guides and forms. It is a general assistant rather than a church tool.

  • Price: Free is "$0 Free for everyone"; Pro is $17 per month with the annual subscription discount ($200 billed up front), or $20 if billed monthly.
  • Free trial: the free plan, with usage limits.
  • Watch for: it holds no member records unless you paste them in, so do not paste in private pastoral or giving details.

Free AI tools and trials for churches

  • Church database: Planning Center People, free; first 30 days free for paid products. Tithely: 30-day free trial.
  • Phones: Smith.ai free forever plan (25 calls a month, card required).
  • Meeting notes: Fathom free forever; Otter Basic free.
  • Writing: Claude free plan; Pulpit AI free trial with no credit card.
  • Trial: Dooza Crew 7 days (card required).

How to choose an AI tool for your church

  1. Start with the job that eats the most office hours. Newsletters, the phone, sermon follow-up, volunteer emails, or meeting minutes.
  2. Check your church database first. Planning Center and Tithely are the base; add AI where it saves real time.
  3. Decide what data may go into AI. Member records, giving history and counselling notes need a written rule before anyone pastes them anywhere.
  4. Keep sign-off with your people. Pick tools that ask before they send, and have a pastor or staff member read anything that goes out in the church's name.
  5. Write a one-page AI policy. Pushpay's page says only 5% of churches have one; it is a good place to be ahead.

Frequently Asked Questions

What is the best AI tool for a church office?

For a small or mid-size church office, our top pick is Dooza Crew (our product): AI employees for the routine office jobs, each with its own computer and browser, for $49 a month for the whole organization after a 7-day free trial. It asks you to Approve, Edit or Reject before it sends an email. If you want AI inside your church database, look at Planning Center; for sermon content, Pulpit AI.

How many pastors use AI?

Barna surveyed 442 U.S. Protestant pastors online in December 2025 and found that only 13 percent say they do not use AI at all. Barna also reports that 34% use AI for administrative tasks like scheduling, emails and document preparation, a figure it reports together with small group discussion questions.

Can AI write a sermon?

It can draft and suggest, but the message, the theology and the care for your people stay with the pastor. Pulpit AI, for example, repurposes a sermon you already preached into clips, devotionals and discussion guides, and also has a sermon assistant for ideas. Read every draft before it goes out in your name.

Is there a free AI tool for churches?

Several have free entry points. Planning Center People is free with an unlimited database, and its paid products start with a first 30 days free. Smith.ai's AI Receptionist has a free forever plan with 25 calls a month (card required at signup). Fathom has a free forever plan, Otter's Basic plan is free, and Claude has a free plan. Pulpit AI offers a free trial with no credit card required.

Is it safe to put member or giving data into an AI tool?

Treat it with care. Planning Center says you, not Planning Center, control what data you give to AI companies, and lets you limit which users and products connect. Whatever you use, decide in writing what member, giving and pastoral information may be entered, and keep counselling notes out. Pushpay says on its own page that 64% of churches believe an AI policy is important but only 5% have one; that is a vendor claim, but a written policy is a sensible step.

Will Dooza Crew work with Planning Center or Tithely?

No church software is certified or integrated with Dooza Crew, so it does not sync with your church management system. It works only in web tools you log in to with a browser, and you type passwords and 2FA codes yourself. Try your own tools during the 7-day free trial before you commit.
