Checked October 26, 2026. Prices were read on each vendor's own pricing page. Hello Patient, Assort Health and the paid Heidi plans do not publish prices; we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for the back office of a small clinic; we say why, and where the clinical tools fit better.

Best AI tools for medical clinics: the short answer

Our top pick for the back office of a small clinic is Dooza Crew: AI employees for the office jobs nobody has time for, such as hiring, supply ordering and filling forms, $49 a month for the whole organization, and it asks before it sends anything. For visit notes, look at Freed (plans starting at $39 a month), Heidi (has a free plan), Sunoh or Tandem. Doximity Ask is a clinical reference tool that is free to physicians. For the phones, Hello Patient and Assort Health are built for medical practices; Smith.ai has a free AI receptionist plan and Dialzara starts at $29 a month.

Who this list is for

This list is for small medical clinics and private practices, the physician office with a handful of clinicians and a front desk of two or three people, not hospital systems. Physicians have taken to AI quickly. The American Medical Association's 2026 survey reports that "The 81% use rate is more than double what it was when the AMA first polled doctors on health AI in 2023"

A health system has an IT department, a compliance office and a contact center. A small clinic has the physician at the end of the day finishing notes and staff covering phones, forms and supplies between patients. The tools below fall into four groups: AI that writes visit notes, AI that answers clinical questions, AI that answers the phone, and AI that does office work in your browser.

The tools, one by one

1. Dooza Crew (our product, top pick): AI employees for the clinic's back office

Crew gives a clinic AI employees, each with its own computer and browser and its own job. They work around the clock, work with your team in one chat, and pass work to each other. They work in the web-based tools you log in to with a browser, and Crew agents take phone calls too, included in the plan. Before an agent sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.

Some jobs you could give it, chosen so that no patient health information is involved:

  • Hiring: you could give one agent the job of posting your medical assistant or front desk opening on job sites, sorting the replies and drafting answers to applicants for you to approve.
  • Supplies: you could give one agent the job of checking prices for your usual office and exam-room supplies on your suppliers' websites and building the order, then waiting for you to approve before it clicks Pay.
  • Forms: you could give one agent the job of filling the fillable PDF, Word and Excel forms you upload, such as a payer network application or a vendor form. Scanned PDFs without form fields cannot be filled. You type passwords and 2FA codes yourself.
  • Reviews and email: you could give one agent the job of drafting replies to public reviews and routine vendor email, without patient details, for you to approve.
  • Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
  • Watch for: it is not a clinician or a clinical tool, and it does not diagnose. No medical records system is certified or integrated, so it works only where you can log in with a browser; test yours during the trial. We make no HIPAA or Business Associate Agreement claim for Crew, so do not give it patient health information (PHI) unless your compliance review allows it. Clinical and other regulated decisions stay with you.

2. Freed: an AI scribe with a front-desk product too

Freed lists "Affordable plans starting at $39/mo" for clinicians, covering an AI scribe, clinical evidence answers, a coding assistant and EHR integration. For the front desk it sells an AI receptionist and communications platform with "Affordable plans starting at $149/mo". On its pricing page Freed says, "Freed is HIPAA-compliant, SOC2 Type 1 & 2 certified, and HITECH-compliant."

  • Price: clinician plans starting at $39 a month. The starter plan has "Up to 40 notes per month"; the Core plan has "Unlimited note generation"; the Premier plan adds "EHR push integration" and "ICD-10 coding (and CPT codes)". Group plans are custom.
  • Trial: "Try Freed risk-free for 7 days. No credit card needed."
  • Watch for: the cheapest plan caps notes at 40 a month, and EHR push sits on the higher plan. The "Organization-wide BAA" is listed with group features, so ask how a small clinic gets a Business Associate Agreement.

3. Heidi: an AI scribe with a free plan

Heidi's plans are Free, Clinician, Practice and Enterprise. The Free plan lists "Unlimited transcription", and the page invites you to "Get Heidi free". The Clinician and Practice plans offer "Try 14 days free".

  • Price: free plan; paid plan prices are not published, you click "Talk to us". Enterprise is "Custom".
  • Watch for: no paid price on the page, and the page text we read has no HIPAA or Business Associate Agreement wording beyond a footer link. Ask for the agreement before you use it on real patients.

4. Sunoh.ai: an ambient scribe that drafts the SOAP note

Sunoh listens to the visit and produces a draft. Its page lists "Ambient voice capture", "Generates draft SOAP note" and "Allows editing of text before importing to EHR". The EMR list on its sign-up form names athenahealth, eClinicalWorks, ModMed, NextGen and Epic, among others.

5. Tandem Health: a free tier and a paid plan for small practices

Tandem's Free plan lists "Unlimited note generation" with two custom templates. Its Pro plan is described for sole practitioners and small practices, with "1-click transfer to 100+ medical record systems".

  • Price: Free; Pro "€ 125 per user/month, billed yearly"; Enterprise is tailored.
  • Watch for: prices are in euros and the page does not say which countries and compliance regimes it covers. US clinics should ask about both before signing up.

6. Doximity Ask: free clinical answers for physicians

Doximity's AI for doctors is a clinical reference assistant, not a scribe. The page says "Doximity Ask includes access to UpToDate's trusted, physician-authored clinical content — at no cost to physicians."

  • Price: no cost to physicians, per that sentence. Nothing is published for other staff.
  • Watch for: it supports your clinical judgment and does not replace it, and it does not answer phones or write notes. Check the terms before you type patient details into any reference tool.

7. Hello Patient: AI agents for patient calls and texts

Hello Patient describes itself this way: "Hello Patient builds AI agents for patient conversations: calls, scheduling, intake, billing, and recall across voice, text, and web chat. HIPAA, SOC 2 Type 2." It says it "Seamlessly integrates with your EHR and CRM".

  • Price: not published; you book a call. No trial stated.
  • Watch for: one customer quote on the page comes from a 96-location urgent care practice, so ask what a small clinic pays and which record systems it connects to.

8. Assort Health: AI voice agents for medical practices

Assort says: "See how Assort's AI voice agents answer every call, schedule patients accurately, and reduce the workload on your front office." Its pages cover scheduling, triage and routing, intake, after-hours coverage, refills and referrals, with primary care among the specialties.

  • Price: not published; you get a demo. No trial stated.
  • Watch for: demo-only with no public price, and the customer pages lean toward specialty groups and health systems.

9. Smith.ai AI Receptionist: a free plan to start

Smith.ai's AI Receptionist offers 24/7 AI call answering with recording, transcription and summaries, call routing and AI scheduling with Calendly and similar tools.

  • Price: Free $0 a month for 25 calls ($3.00 per call after that); Pro $150 a month ($2.00 per call); Enterprise $500 a month ($1.67 per call) (Smith.ai AI Receptionist pricing).
  • Free plan: "Try it and trust it first."
  • Watch for: it is a general small-business tool and its pricing page does not mention HIPAA or medical record systems. Ask before patients' details go through it.

10. Dialzara: a low-cost AI receptionist

Dialzara answers calls, takes messages with custom questions and transfers calls, with add-ons for outbound calls, SMS and website chat.

  • Price: Business Lite $29/month for up to 60 minutes ($0.48/min over); Business Pro $99/month for 220 minutes; Business Plus $199/month for 500 minutes; Business Elite $349/month for 1000 minutes (Dialzara pricing).
  • Free trial: "7-day free trial", no contract, cancel anytime.
  • Watch for: you pay by talk minutes, so a busy flu-season week adds up. It is not medical-specific, and the pricing page does not mention HIPAA.

Free AI tools and trials for clinics

  • Free plans: Heidi (Free plan), Tandem (Free plan), Smith.ai AI Receptionist (25 calls a month for $0), Doximity Ask (no cost to physicians).
  • Trials: Freed 7 days (no card), Heidi paid plans 14 days, Dialzara 7 days, Dooza Crew 7 days (card required).
  • Demo only: Hello Patient and Assort Health.

Patient data and HIPAA: what to ask first

Any tool that hears a patient call, listens to a visit or writes a note handles protected health information. Before you turn one on, ask the vendor for a Business Associate Agreement and keep a signed copy. Sunoh says one is included, and Freed lists an organization-wide agreement with its group features. The general AI receptionists we read do not mention HIPAA on their pricing pages, and Dooza Crew makes no HIPAA claim, so keep patient details out of those unless your compliance review allows them. When in doubt, start with jobs that touch no patient data at all, such as hiring, supplies and vendor paperwork.

How to choose an AI tool for your clinic

  1. Start with the job that costs you most. Evening charting, missed calls, forms, or the office work that piles up after hours.
  2. Check your records system first. Scribes push notes into some EHRs and not others; general receptionists may not connect at all.
  3. Do the math per provider. Sunoh and Tandem price per user; Smith.ai per call; Dialzara by minutes; Dooza Crew is one price for the organization.
  4. Keep the clinician in charge. AI can draft a note or look something up; examination, diagnosis and sign-off stay with you.
  5. Get the paperwork right. No Business Associate Agreement, no patient data.

Frequently Asked Questions

What is the best AI tool for a small medical clinic?

For the back office of a small clinic, our top pick is Dooza Crew (our product): AI employees with their own computer and browser for jobs such as hiring, supply ordering and filling forms, $49 a month for the whole organization after a 7-day free trial, and it asks before it sends anything. For visit notes, look at Freed, Heidi, Sunoh or Tandem. For the phones, Hello Patient and Assort Health are built for medical practices; Smith.ai and Dialzara are general AI receptionists.

Can AI diagnose patients or replace a clinician?

No. Scribes draft notes, reference tools look things up and receptionists answer calls, but the clinician examines, diagnoses and signs. Every tool here is an assistant. Dooza Crew is not a clinician and does no diagnosis.

How much do medical AI tools cost?

Prices we read on October 26, 2026: Freed has plans starting at $39 a month; Sunoh starts at $149 per user per month for a limited time; Tandem Pro is 125 euros per user per month billed yearly; Heidi has a free plan; Doximity Ask is at no cost to physicians; Smith.ai AI Receptionist has a $0 plan and Pro at $150 a month; Dialzara starts at $29 a month. Hello Patient and Assort Health do not publish prices. Dooza Crew is $49 a month for the whole organization.

Is there a free AI medical scribe?

Heidi has a free plan and Tandem lists a Free plan with unlimited note generation. Freed has a 7-day free trial without a credit card. Check each free tier for limits and for a Business Associate Agreement before any patient information goes in.

Are AI scribes and receptionists HIPAA compliant?

Ask each vendor and get a Business Associate Agreement before any patient information goes in. Sunoh says a BAA is included, Freed says it is HIPAA-compliant and lists an organization-wide BAA for groups, and Hello Patient says HIPAA and SOC 2 Type 2. The general receptionists we read, Smith.ai and Dialzara, do not mention HIPAA on their pricing pages. Dooza Crew makes no HIPAA claim, so do not give it patient health information unless your compliance review allows it.

Will AI replace my front desk?

Not in these tools. AI receptionists answer calls, take messages and book into a calendar, but your team still handles insurance questions, urgent calls and anything clinical. The practical goal is fewer missed calls and less paperwork for the staff you have.
