Checked October 26, 2026. Prices were read on each vendor's own pricing page. Several tools (Eyenuk, Podium, Heidi's paid plans, EncompassScribe on its own) do not publish a price; we say so. Prices change: re-check before you buy. Dooza Crew is our product and our top pick for the practice's back office; we say why, and where the others fit better.

Best AI tools for optometrists: the short answer

For the exam room, start with the AI scribe in your own software: RevolutionEHR AI Scribe (included at no additional charge for practices using the exam module) or Eyefinity's EncompassScribe. For the back office, our top pick is Dooza Crew: AI employees that handle web-based busywork around the practice, $49 a month for the whole organization, and it asks before it sends anything. For phones, Smith.ai, Dialzara or Weave. For one specific screening job, Eyenuk. Clinical decisions stay with you.

How optometrists feel about AI

We found no recent association survey of optometry practices, so here is the best primary source: a Journal of Optometry study of 400 optometrists. It reports that "Most respondents reported familiarity with AI (66.8%)." It adds that "half of optometrists had concerns about the diagnostic accuracy of AI (53.0%)" while "most believed it would improve the practice of optometry (72.0%)".

The survey was published in 2022, so it measures attitudes, not how many practices use AI today. The pattern still matches the market: the scribes and phone tools below help with paperwork and calls, and the diagnostic tool is narrow and clinician-led.

The tools, one by one

1. Dooza Crew (our product, top pick): AI employees for the back office

Crew gives a practice AI agents for the web-based busywork around the exam room. Each agent has its own computer and browser and its own job, works around the clock, and works with your team in one chat. Agents can pass work to each other. Before it sends an email or clicks Send, Submit or Pay, it asks you to Approve, Edit or Reject.

There is no Dooza page for optometry, so here are example jobs, written as things you could try. You could give one agent the job of researching frame and lens suppliers on their websites and drafting a comparison for you to read. You could give another the job of drafting replies to your online reviews, which you approve before anything posts. You could give a third the job of filling a fillable PDF or Excel form you upload, such as a vendor or supplier application.

  • Forms: it fills fillable PDF, Word and Excel files you upload. Scanned PDFs without form fields cannot be filled. You type passwords and 2FA codes yourself.
  • Phones: Crew agents take phone calls too, included in the plan.
  • Price: free for 7 days (card required), then $49 a month for the whole organization (unlimited users and agents), AI usage included with a hard spending cap. At the cap it pauses and tells you.
  • Watch for: no optometry software (your EHR, practice management or insurance portal) is certified or integrated with it, so it does not sync with your EHR; it works only in web tools you log in to. It is not a licensed optometrist, and clinical decisions stay with you. Crew does not claim HIPAA compliance, so keep patient health information out of it.

Try Dooza Crew free for 7 days.

2. RevolutionEHR AI Scribe: built into an optometry EHR

RevolutionEHR says "AI Scribe listens to the OD–patient encounter and transcribes spoken findings during the exam." The AI then turns those findings into structured exam data in the encounter screens.

3. Eyefinity EncompassScribe: AI notes inside Encompass

Eyefinity describes EncompassScribe as "AI-assisted documentation, built into Eyefinity Encompass". It suggests structured notes and billing codes, and every suggestion is "only finalized when you approve it".

4. Heidi: a free AI scribe to try

Heidi's pricing page shows a Free plan with unlimited transcription and standard templates, plus an evidence tool with cited answers. The Clinician plan offers "Try 14 days free".

  • Price: Free plan available. We could not read dollar prices for the paid plans on the page; Practice and Enterprise say "Talk to us".
  • Watch for: it is a general clinician tool, not built for optometry, and some features are marked "Limited" on Free. Test it against your own exam flow.

5. Freed: AI scribe with specialty templates

Freed's page says "Affordable plans starting at $39/mo". It has specialty templates and pushes notes to browser-based EHRs on its higher plans.

  • Price: from $39/mo; the entry plan allows up to 40 notes a month, and unlimited notes start on the next plan up.
  • Free trial: "Try Freed risk-free for 7 days. No credit card needed."
  • Watch for: not optometry-specific, and the EHR push is on a higher plan, so check it works with yours.

6. Eyenuk EyeArt: autonomous diabetic retinopathy screening

Eyenuk calls itself "The first and only FDA 510(k)-cleared autonomous AI that detects vision-threatening diabetic retinopathy." It lists optometry among its users and is "Compatible with multiple camera models from major camera manufacturers". Those are the vendor's claims.

  • Price: not published (contact sales).
  • Watch for: one condition only, it needs a compatible retinal camera, and the clinical decision stays with you.

7. Weave: phones and messaging with AI call insights

Weave's pricing page says "simple plans and pricing, starting from $199 per month". Its Call Intelligence feature, labeled new, uses AI to help turn more calls into appointments, and its integrations list includes optometry.

  • Price: from $199 per month; per-plan prices are not published.
  • Watch for: the page does not say which plans include Call Intelligence, and no free trial is stated.

8. Smith.ai: AI call answering with a free plan

Smith.ai offers 24/7 AI call answering, recordings and summaries, lead qualification and routing, and scheduling.

  • Price: Free is "$0" for 25 calls a month ($3.00 per call after that); Pro is $150 a month at $2.00 a call; Enterprise is $500 a month at $1.67 a call.
  • Free trial: the Free plan lets you "Try it and trust it first."
  • Watch for: it is a general tool; the integrations named are Calendly, Clio and Zapier, not optometry software.

9. Dialzara: AI receptionist billed by the minute

Dialzara's AI receptionist takes messages with custom questions and transfers calls to your team.

  • Price: Lite $29, Pro $99, Plus $199 and Elite $349 a month, with 60, 220, 500 and 1000 talk minutes included. The page says "7-day free trial" and "No contract. Cancel anytime."
  • Watch for: overage per minute ($0.48 on Lite), and it is not optometry-specific.

10. Podium: an AI employee for texts and leads

Podium says "Meet Jerry, your all-in-one AI employee who sells, schedules, and communicates with customers day and night".

  • Price: not published; the page says to talk to the sales team.
  • Watch for: a general local-business tool, not eye-care specific, with no public price.

Which tool for which job

Most practices do not need all ten. A practical way to sort them: match the tool to the hours you lose.

  • Charting after the exam: the scribe in your own EHR first (RevolutionEHR AI Scribe or EncompassScribe), then a general scribe such as Heidi or Freed if your software has none.
  • Missed calls and after-hours messages: Smith.ai, Dialzara or Weave. Read the per-call or per-minute rate against your real call volume before you pick.
  • Diabetic eye screening: Eyenuk is a narrow, clinician-led tool; ask for a price and the camera list.
  • Web-based admin that nobody owns: supplier research, review replies, form filling and follow-up drafts are the kind of job you could give a Crew agent, with you approving anything it sends.

One more honest note on cost: the cheapest option is not always the one that saves time. A $0 plan with a per-call charge can cost more in a busy month than a flat plan, and an EHR-included scribe costs nothing extra but only works inside that EHR. Add up a normal month before you commit.

Free AI tools and trials for optometrists

  • Scribe: Heidi's free plan; Freed 7 days (no card).
  • Phones: Smith.ai's free plan (25 calls a month); Dialzara 7 days.
  • Back office: Dooza Crew 7 days (card required).

How to choose an AI tool for your practice

  1. Start with your own software. RevolutionEHR and Eyefinity already include scribe features, so check what your plan has before buying another.
  2. Pick the job that eats the most hours. Charting, phones, or the web-based admin around the practice.
  3. Keep sign-off human. Choose tools that ask before they send or save, and keep every clinical decision with the licensed optometrist.
  4. Keep patient health information out of tools that do not say it is allowed. Ask each vendor in writing what it covers before you put patient records in.
  5. Try before you pay. Most tools above have a free plan or trial; test with a normal week, not a demo.

Frequently Asked Questions

What is the best AI tool for optometrists?

For the exam room, use the scribe inside your own software: RevolutionEHR includes AI Scribe at no additional charge for practices using the exam module, and Eyefinity offers EncompassScribe. For the back-office jobs around the practice, our top pick is Dooza Crew (our product): AI employees with their own computer and browser, $49 a month for the whole organization after a 7-day free trial, and it asks before it sends anything. For phones, look at Smith.ai, Dialzara or Weave.

Is there an AI scribe for optometry?

Yes, two are built into optometry software. RevolutionEHR says AI Scribe converts spoken findings into structured exam data, and the provider reviews and approves all captured data before saving the chart. Eyefinity says every note and billing code suggestion in EncompassScribe is only finalized when you approve it. General scribes such as Heidi (free plan) and Freed (from $39/mo) also exist but are not optometry-specific.

How much does AI cost for an optometry practice?

Prices we read on October 26, 2026: RevolutionEHR AI Scribe is included for practices using the exam module; Eyefinity Encompass starts at $340/month (Essential) or $758/month (Enhanced) for one location and one doctor; Freed starts at $39/mo; Weave starts from $199 per month; Smith.ai has a $0 plan and a $150/mo plan; Dialzara runs $29 to $349 a month. Eyenuk and Podium do not publish prices. Dooza Crew is $49 a month after a free 7-day trial.

Can AI diagnose eye disease?

Some tools screen for one condition. Eyenuk says EyeArt is FDA 510(k)-cleared autonomous AI for vision-threatening diabetic retinopathy and needs a compatible retinal camera. Clinical decisions stay with the optometrist. Dooza Crew is not a licensed optometrist and does not make clinical decisions.

Is there a free AI receptionist for an optometry office?

Smith.ai has a free plan with 25 calls a month and $3.00 per call after that. Dialzara has a 7-day free trial. Neither page we read names optometry software, so test with your own phone setup. Dooza Crew agents also take phone calls, included in the plan, with a 7-day free trial (card required).

Can I put patient health information into Dooza Crew?

No. Crew does not claim HIPAA compliance, so keep patient health information out of it. Use it for jobs that do not need patient records, such as supplier research, reminders about your own business tasks and drafting website or review replies for you to approve.
